M - MEETING MANAGEMENT


Meetings.

They are either incredibly productive or a complete waste of time.

There's rarely an in-between.

As a VA, managing meetings well is how you prove you are not just an assistant you are a strategic partner.

Before the meeting:
✅Send the agenda (no agenda = no meeting)
✅Confirm attendance
✅Prep any materials needed
✅Block prep time for your client

During the meeting:
✅Take clear notes (I use a template)
✅Track action items with owners
✅Watch the time
✅Keep things on track (politely!)

After the meeting:
✅Send notes within 24 hours
✅Follow up on action items
✅Schedule any next steps
✅Update project trackers

VAs: You are the glue that makes meetings actually WORK. Without follow-through, meetings are just expensive conversations.

Clients: A VA who manages meetings well saves you hours of back-and-forth and "wait, what did we decide?" confusion.

Hot take: If a meeting could be an email, make it an email.

The VA industry changes FAST.

New tools every month. AI everything. Client expectations evolving.

If you are not learning, you are falling behind.

Harsh? Maybe. True? Absolutely.

My learning philosophy:
I spend 3-5 hours every month learning something new. Not because I'm obsessed with productivity (okay, maybe a little). But because my skills are my product.

What I'm learning right now:
• AI tools
• Advanced project management
• Better copywriting (because communication is everything)
• New features in tools I already use

VAs: You don't need expensive courses to gain in depth knowledge about various tools. YouTube, free webinars, LinkedIn Learning, trial-and-error with new tools. Stay curious.

Clients: If your VA asks about training or wants to learn a new tool that could help you? Support that. You benefit directly.

"Where's that document again?"
"What was the password for...?"
"Didn't we discuss this already?"

If you are asking these questions more than once a week, you have a knowledge management problem.

And I get it. Information is EVERYWHERE. Email. Slack. Google Drive. That random WhatsApp message from three months ago.

Here's what changed the game for me:
ONE central hub for everything. I use Notion, but Asana, ClickUp, Google Drive—whatever works. Just pick ONE place and stick with it.

What goes in my knowledge hub:
1️⃣Client preferences (they like bullet points, hate phone calls, whatever)

2️⃣Login credentials (please use a password manager!)

3️⃣Standard operating procedures

4️⃣Templates for everything

5️⃣Meeting notes and decisions

6️⃣Project timelines and status

VAs: When you create great knowledge management systems, you become IRREPLACEABLE. You are not just doing tasks, you are building institutional memory.

Clients: Invest time in this upfront. Your VA shouldn't have to ask the same questions twice.

This thing is Documentation feels boring until the day you desperately need to find something and it's RIGHT THERE.

J - JOB DESCRIPTIONS


"I need help with... stuff."

Cool. Super helpful. Very clear. 😅

Here's the problem: Vague job descriptions create miserable working relationships.
I have been on both sides of this. Hired someone without clarity. Been hired without clarity. It never ends well.

Clients: If you can't describe what you need, how can someone deliver it? Take 20 minutes to think through:

1️⃣What tasks need doing?
2️⃣How often?
3️⃣What does "good" look like?
4️⃣What tools will they use?

VAs: Don't accept vague gigs. Ask questions BEFORE you start. "Help with social media" could mean anything from scheduling posts to full content creation to community management.

⛔️Red flags in job descriptions:
🚫Wear many hats" (translation: unclear scope)

🚫Various tasks as needed" (translation: whatever I think of)

🚫No mention of hours or expectations
"Must be available 24/7"

❇️Green flags:
✅Specific task list

✅Clear deliverables

✅Defined working hours

✅Success metrics

A good job description protects BOTH of you.

I - INVOICING


Let's talk about the awkward part nobody warns you about:

Getting paid.

Early in my VA journey, I'd finish amazing work and then... hesitate to send the invoice. Like I was asking for a favor instead of payment for professional services.

Can we just agree that invoicing is NOT awkward? It's business.

VAs, listen up: Your invoice is a reflection of your professionalism. Send it on time. Make it clear. Don't apologize for charging what you are worth.

Clients: Pay your VAs on time. Seriously. They have bills too. Late payments damage trust faster than almost anything else.

My invoicing non-negotiables:

1️⃣Invoice the same day every month (mine go out on the 1st)

2️⃣Crystal clear breakdown of services

3️⃣Payment terms stated upfront

4️⃣Professional invoicing software

5️⃣Follow up if unpaid after due date.

TIP: Set up automatic payment reminders.

Takes the awkwardness out completely.

And please, PLEASE have a contract that covers payment terms before you start work.

H - HOURLY VS. RETAINER


"How much do you charge?" This question used to make me sweat.

Hourly? Retainer? Package? Project-based?

Let me break down what I have learnt:

Hourly = You get paid for time spent. Good for: New clients, scope that's unclear, project work.

The trap: You're trading time for money (there's a cap on your income)

Retainer = Fixed monthly fee for agreed services. Good for: Ongoing support, predictable income, committed clients.

The trap: Scope creep if you are not careful with boundaries.

My honest take:
Start hourly while you are building trust and understanding the workload.

Once you know what's involved, propose a retainer.
Why? Because retainers give you:
1️⃣Predictable income (hello, paying bills on time!)

2️⃣Stronger client relationships (you're part of the team, not a contractor)

3️⃣Less admin (one invoice instead of tracking every 15 minutes)

For clients: Retainers usually get you better service. Your VA prioritizes you because you've committed to them too.

My sweet spot?🤭 A hybrid. Retainer for core services, hourly for anything extra.

G - GOAL SETTING


Here's a question that changed everything for me:

"What does success look like for YOU?"

Not for your client. Not for some Instagram VA guru.
For YOU.

VAs: Are you just checking off tasks, or are you working toward something? Maybe it's hitting a certain income. Building a specific skillset. Working with dream clients. Taking Fridays off.

Clients: Does your VA know what you are actually trying to achieve? Not just this week's to-do list, but the BIG picture? When they understand your goals, they can actually help you reach them.

My goal-setting framework:

1️⃣Monthly revenue targets (get specific with numbers)
2️⃣Skills I want to master (this quarter, I'm diving deep into project management)
3️⃣Client types I want to attract (hello, tech founders!)
4️⃣Lifestyle goals (because what's the point otherwise?)

I review these every month. Some I hit. Some I miss. All of them keep me moving forward.
