A really good question came up on the channel 👇

When you file the pay run in Xero, does the money automatically come out of the account? Do the employees get paid automatically from Xero?

Short answer: no.

Filing the pay run simply sends the payroll data to the ATO through Single Touch Payroll (STP).

You still need to pay your employees separately from your online banking portal outside of Xero. Currently you cannot pay your employees directly from Xero.

So think of it as two separate steps:

1) Reporting to the ATO
2) Paying your employees

If you’d like to see exactly how this works step by step, I’ve covered it in a recent video here: https://www.youtube.com/watch?v=a4zFf...

A few of you have already messaged me about the payroll accounts section, specifically the part about expenses vs. liabilities and why your wage payments shouldn't be reconciled against the wage expense account.

If you've already watched the video, I'd love to know: was there a moment where something just clicked for you? Or is there a part of payroll setup you'd like me to go deeper on in a future video? 👇

A simple rule that keeps Xero records clean 👇

If there is an invoice to be paid use Bills.
If it is a small expense already on your bank feed use Spend Money.

Why does this matter?

Bills show what you owe before it is paid.
Spend Money only shows what has already left your account.

That visibility makes a big difference when you review your reports.

Small habits. Big impact.

Bills vs Spend Money in Xero: the rule that keeps your records clean

If you have ever wondered which one you should use and when, this is for you.

This small decision affects your reports, your cash flow visibility, and how organised your documents are inside Xero. And I see this mistake often in cleanup jobs.

In the video, I share the simple rule I use professionally and why it makes such a difference long term.

💡 Quick Xero tip from the new homepage

The dashboard only becomes useful once it reflects how you work.
Out of the box, it shows everything and therefore disoirenting. After customising, it shows what actually matters.

If you do one thing this week, reorder your homepage so the cash, invoices, and tasks you check most often appear at the top. Small change, big clarity.
